Phone system

A cloud phone system your whole team can use from day one.

VoiceLogic is a business phone system that runs over the internet, so it works on desk phones, mobiles and in a browser tab. Your administrators manage users, numbers and routing themselves from one web portal, for £6.95 per user a month with 5,000 minutes to UK landlines and 2,000 to UK mobiles included.

Phones

Which phones work with VoiceLogic?

Desk phones from Yealink, Snom, Polycom and Grandstream, mobile apps such as Linphone, softphones such as MicroSIP and Zoiper, and a phone that runs in any modern browser. Most teams use a mix.

Desk phones that set themselves up

Register a phone by its MAC address and it collects its settings, line keys and colleague lamps on its own. No configuring each handset by hand.

Your mobile, by QR code

Send a setup link or show a QR code, scan it in the Linphone app, and the mobile rings like a desk phone, with your business number.

A phone in the browser

Make and take calls, with video if you want it, from a browser tab. Nothing to install, which suits hot desks and home working.

Buttons you choose

Set each programmable key to your line, a colleague’s lamp that lights when they are on a call, or a speed dial. Yealink and Snom phones update straight away.

Call routing

How do calls reach the right person?

Every number points at a destination you choose: a person, a ring group, a queue, a “press 1” menu, an AI agent, voicemail or a recorded message. Office hours decide which way calls go at different times, and you can change any of it in seconds.

Office hours, breaks and holidays

Open, closed, lunch and bank holidays, each with its own answer, in your company’s time zone. Adding a bank holiday takes a moment.

“Press 1” menus

Auto attendants with your own recorded greeting, a destination for every key, and callers able to dial an extension directly.

Ring groups

Ring everyone at once or one after another. A colleague answering on a mobile can be asked to press 1, so a mobile’s voicemail never takes the call.

Call queues

Hold callers with music and offer them to whoever is free, with a live board of who is waiting, answer rates and five ways to share calls out.

See every call flow

A diagram of what happens to calls on each number, worked out from your live settings, which points out dead ends before a caller finds one.

An AI agent as a destination

Send calls to an AI agent out of hours, when the team is busy, or all the time, just like any other destination.

Everyday use

Made for the people answering the phone

Click to call

Click a colleague or a phonebook number in the portal. Your own phone rings first, then the call connects.

Team view

See who is free, on a call, ringing or on do not disturb, updated every few seconds.

Office wallboard

A live screen for the office TV: callers waiting, the longest wait, today’s calls and who is free.

Shared phonebook

Names for numbers, so phones show who is calling. Import contacts from a spreadsheet in one go.

Team chat and meetings

Written chat between colleagues, and conference rooms with PINs that people join by phone or with video.

Forwarding and do not disturb

Each person can forward their calls or turn on do not disturb from the portal or by dialling a code on the phone.

Records

Can VoiceLogic record and transcribe calls?

Yes. Calls can be recorded with the required announcement, searched and played back in the portal. With transcription switched on, each recorded call also gets a written transcript, a summary and action items, with card numbers removed.

  • Search calls by number, or by what was said when transcription is on
  • “Why?” shows step by step how each call was routed
  • Voicemail by email, with the audio attached
  • Every call logged in your CRM, with the caller’s name on the handset as it rings
  • Recordings kept for as long as your policy says, then removed

Control and safety

Your phone system, under your control

Your own administrators add people, change routing and reset passwords from the portal. Limits on calls at once and on international calling protect you from fraud, and 999 always works.

Fraud protection

A limit on calls at once, and international and premium-rate calls barred unless you allow them per person.

999 for every phone

An emergency address for every extension. Emergency calls are never blocked. Read how 999 works.

Secure sign-in

Two-step sign-in with an authenticator app, user and administrator roles, and a list of the places the portal may be used from.

An open API

A documented API, so your own systems can manage users and numbers and read call records.

Questions

Phone system questions

What is a cloud phone system?

A cloud phone system runs over the internet instead of on a phone box in your office. Your phones connect to it from anywhere with a connection, and you manage users, numbers and routing from a web portal.

How much does the VoiceLogic phone system cost?

£6.95 per user a month plus VAT. Each user adds 5,000 minutes to UK landlines and 2,000 to UK mobiles a month, shared across your company; calls past them cost 1p a minute to landlines and 3p to mobiles. AI agents are priced separately; see the pricing page.

Can I use my mobile as a business phone?

Yes. Install the Linphone app and scan the QR code from your setup email. Your mobile then makes and takes calls on the business system, alongside or instead of a desk phone.

Can calls go somewhere different at lunchtime or on bank holidays?

Yes. Office hours let you set opening hours, daily breaks and holiday closures, and choose where calls go in each case, for example to voicemail or an AI agent while the office is closed.

Does 999 work on VoiceLogic phones?

Yes. 999 and 112 can be dialled from every phone and are never blocked. Each extension has an emergency address. 999 needs power and an internet connection, so keep a mobile phone available; see emergency calls.

Does VoiceLogic work with my CRM?

It works with HubSpot, Salesforce, Zoho, Microsoft Dynamics 365, Pipedrive, Zendesk, Freshdesk, Kommo, Vtiger and Jetpack CRM. The caller’s name shows on the handset, and each call is logged as an activity.
