AI phone answering for restaurants and hospitality

VoiceLogic’s hospitality AI agent answers your phone during service and after you close, with opening times, menus, location and parking taken from your own information. It takes reservation requests with the date, time, party size and any special occasion or access needs, and passes them to your team to confirm.

  • Answers while you serve
  • Bookings checked before they reach you
  • Allergies written down, never guessed

The problem

Why is the phone so hard to answer in a restaurant?

Because it rings hardest when the team is busiest: in the middle of lunch and dinner service, while front of house is seating guests, taking orders and running plates. The same handful of questions come up every day, and the calls that matter most, bookings, arrive just when nobody has a free minute to write them down carefully.

Service comes first

A host on the phone isn’t greeting the couple at the door. Ignore the phone, though, and the table goes to somewhere else.

The questions never change

What time do you close on Sunday? Is there parking? Do you have vegetarian dishes? Can I bring the dog? Each one is quick, and there are a lot of them.

Bookings scribbled in a rush

A booking taken over the noise of a full room can end up with the wrong night or the wrong number of covers.

Allergy questions need care

A caller asking whether a dish is safe deserves an answer from the kitchen, not a guess from whoever picked up the phone.

On a booking call

What does AI phone answering do for a restaurant?

It answers questions about opening times, the menu, location and parking from the information you give it, and takes reservation requests with every detail checked once. Your team confirms each booking, unless you tell the agent otherwise.

  1. Answers the everyday questions

Opening times, where you are, parking and what is on the menu, all from your own information.

  2. Takes the reservation

Name, number, date, time and how many people, plus any special occasion or access needs.

  3. Checks it once

It repeats the date, time and number of people before finishing, so the booking you receive is the one the guest meant.

  4. Hands it to the team

It tells the guest the team will confirm the booking, unless your information says otherwise.

  5. Writes allergies down exactly

It records exactly what the guest says about an allergy and tells them the team will confirm what is safe.

Example call

A birthday table booked during Friday service

In this example a guest calls a fictional restaurant in the middle of a busy evening. The agent takes the reservation, notes the occasion and a nut allergy, checks the details once, and makes clear that the team will confirm. Asked about a dish, it does not say whether it is safe.

An illustration only. The restaurant and the guest are invented.

Clear limits

What will the hospitality agent never do?

It will never tell a guest that a dish is safe for an allergy. Only the kitchen can confirm that, so the agent writes down exactly what the guest said and leaves the answer to your team.

  • No saying a dish is safe for someone with an allergy.
  • No confirming a table itself, unless your information tells it to.
  • No guessing at prices, dishes or opening times that aren’t in your information. It never makes up names, prices or facts.

Change the template to suit how you work: a café without bookings, a pub with rooms, or a venue that takes private parties. Calls are limited to eight minutes to start with, and the agent is warned a minute before so it can wrap up politely.

Questions

Questions from restaurants and hospitality businesses

Can AI phone answering take restaurant bookings?

It takes reservation requests: name, number, date, time, party size and any special occasion or access needs, checked once with the guest. Your team then confirms the booking, unless your information tells the agent to do something different.

Can it answer allergy questions?

It writes down exactly what the guest says about an allergy and says the team will confirm what is safe. It never says a dish is safe for an allergy, because only the kitchen can confirm that.

Will it answer calls when we’re closed?

Yes. Your opening hours decide when the agent answers. Out of hours it can still give opening times and directions, and take reservation requests for the team to pick up when you open.

Can it tell callers what’s on the menu?

Yes, from the menus and information you give it or from your website. If a question isn’t covered, it says it doesn’t know rather than guessing.

How much does AI phone answering for a restaurant cost?

A Basic AI agent is £29 a month and includes 500 minutes, with extra minutes at 6p. Prices exclude VAT; plans for busier venues are on the pricing page.
