Questions and answers

VoiceLogic help centre

Plain answers about VoiceLogic, the cloud phone system with AI agents for UK businesses. Find out how phones, call routing, voicemail, AI agents, billing and 999 calls work, whether you are choosing a phone system or have just joined.

Getting started

What VoiceLogic is, signing in, and setting people up.

What is VoiceLogic?

VoiceLogic is a cloud phone system for UK businesses with built-in AI agents. You run it from one web portal, and it works on desk phones, mobiles and in the browser. AI agents can answer calls, put people through, take messages and book meetings. See how the phone system works.

How do I sign in to the VoiceLogic portal?

Sign in with your email address and password. If you have switched on two-step sign-in, you then type the code from your authenticator app. Administrators open on the Extensions page and users open on My phone, where their own settings live. A session lasts 12 hours, then you sign in again.

What is the difference between a user and an administrator?

A user looks after their own phone: do not disturb, forwarding, voicemail, recent calls and password. An administrator manages everything for the company, including extensions, desk phones, numbers, call routing, recordings, AI agents, logins and the CRM. A few settings that carry cost or legal weight are changed by VoiceLogic, so ask us about those.

How do I set up a new member of staff?

An administrator sets up a new starter in the portal in five steps.

  1. Add an extension with their name and email address.
  2. Register their desk phone, or email them a setup link for the mobile app.
  3. Choose the 999 address where they sit.
  4. Create a user login linked to their phone and hand them the password.
  5. Add them to any ring groups or queues.

Read more about the phone system.

What happens when someone leaves?

An administrator stops their login and decides what to do with their extension. Untick Can sign in, or remove the login; their extension and voicemail are left untouched. Check their voicemail for messages, then rename the extension for their replacement with a new password, or disable it. Finally, check the call-flow diagram for anything still pointing at it.

Can I see which colleagues are free to take a call?

Yes. The Team page shows who is available, on a call, ringing, on do not disturb or forwarded, and updates itself every few seconds. Press Call beside a colleague and your own phone rings first, then connects you. An office wallboard shows callers waiting and today’s answered and missed calls.

Phones and devices

Desk phones, mobile apps, softphones and the phone in your browser.

Do I need new phones to use VoiceLogic?

Usually not. VoiceLogic works with Yealink, Snom, Polycom and Grandstream desk phones, with the Linphone app on mobiles, with softphones such as MicroSIP, Zoiper and Groundwire, and with a web phone that runs in the browser with nothing to install. See more on the phone system page.

How do I set up a desk phone?

Desk phones set themselves up once an administrator registers them in the portal by their MAC address, the code on the phone’s label.

  1. On the Handsets page, enter the MAC address, make, model, a label and the extension.
  2. Copy the phone’s provisioning address and give it to whoever installs the phone.
  3. Enter that address in the phone’s auto-provisioning settings and restart it.

Treat the provisioning address like a password: anyone with it can fetch that phone’s login details. See the phone system.

Can my calls go to my mobile?

Yes, in two ways. Install the Linphone app and your extension rings on your mobile like a desk phone; your administrator emails you a setup link or shows a QR code, which works once, within 15 minutes. Or forward all your calls to your mobile number from My phone in the portal, or by dialling *72 and the number.

Can I make calls from my computer without a phone?

Yes. The web phone runs in a browser tab with nothing to install, and can send and receive video. An administrator sets your extension up for it. Allow the microphone when the browser asks. An extension set up for the browser no longer works on a desk phone, so someone who needs both should have two extensions.

How do I change the buttons on my desk phone?

An administrator sets them in the button editor in the portal. Each key can be your line, a lamp that lights when a colleague is on a call, or a speed dial. Yealink and Snom phones fetch a new layout straight away; other makes pick it up when they restart. Polycom phones only take lamps, and Grandstream phones have no button layouts.

Why don’t menu keypresses work on my softphone?

Set the app’s DTMF setting, which controls how keypresses are sent, to RFC2833. Menu choices such as “press 1” and codes used during a call only reach the phone system when keypresses are sent that way. You will find the setting in MicroSIP, Zoiper and Linphone.

Calls and routing

Office hours, menus, ring groups and queues: how each call reaches the right place.

What happens to calls at lunchtime?

That depends on your office hours. Add a daily break, and calls during it follow your closed route, such as voicemail or an AI agent. On a ring group, menu or queue you can give breaks their own destination and recording. Times use your company’s time zone. See the phone system.

How do I close the phones for a bank holiday?

Add a holiday or closure for that date to your office hours. Date rules beat your weekly hours, so the office counts as closed even on a working day. For a different message on holidays, choose a recording under On a holiday on the ring group, menu or queue.

Can I set up a “press 1 for sales” menu?

Yes, with an auto attendant. Upload your greeting recording, create a menu, choose the recording as its greeting and set each key to a destination. Then point your number at the menu. Menus can check your office hours first, so callers are not offered “press 1 for sales” at midnight.

How do I make several phones ring for one call?

Use a ring group. It rings everyone at once, or one at a time in order, for between 5 and 120 seconds, then sends the call wherever you choose if nobody answers. Set that next step, because a new ring group hangs up by default. Members on mobiles can be asked to press 1, so a mobile’s voicemail cannot take the call.

What is a call queue, and do I need one?

A queue holds callers and keeps offering them to your team until someone answers, with live figures for who is waiting and today’s answer rate. It suits teams that take several calls at once. VoiceLogic creates queues and sets how calls are shared, ring times and the longest wait, so ask VoiceLogic to set one up.

How do I forward my calls or turn on do not disturb?

Dial *72 followed by the number, or type it under Forward my calls on My phone. Every call then goes there and your phone stops ringing; dial *73 to cancel. For do not disturb, dial *78 to turn it on and *79 to turn it off. While it is on, calls go straight to voicemail.

How can I check where my calls go?

Open the call-flow diagram in the portal and choose a number. It draws every step from your live settings without placing a call, and lists problems such as a step pointing at something deleted or a path where callers are cut off. Check it after any change to your call routing.

Voicemail and recording

Voicemail, call recording and transcripts.

Can I get voicemail by email?

Yes. Each voicemail box can email every message to an address, with the recording attached. An administrator sets this up, and can choose to delete messages once they have been emailed. Your messages are also listed on My phone in the portal, each with a player. See the phone system.

How do I listen to my voicemail?

Open My phone in the portal. Your messages are listed newest first, each with a player, and new messages are marked until you play them. Delete removes a message for good. If voicemail by email is switched on for your mailbox, each message arrives in your inbox too.

Can I record calls?

Yes. Recorded calls can be searched and played back in the portal, with a step-by-step explanation of why each call went where it did. VoiceLogic sets what is recorded and how long recordings are kept, agreed with you, because recording has legal weight. Ask VoiceLogic to switch it on.

Will callers be told their call is recorded?

Yes. When calls are recorded, callers hear a recording announcement. VoiceLogic sets the announcement, because it is required whenever calls are recorded. Administrators can see what is recorded, whether callers are told, and how long recordings are kept on the Call recording page.

Can calls be transcribed and summarised?

Yes, as an option. Recorded calls are turned into text with a summary, action items and how the call ended, and you can search the words. Card numbers spoken as digits are masked. Ask VoiceLogic to switch it on: call recording must be on, and a data processing agreement is needed. Transcription is priced on request; see pricing.

How accurate are call transcripts?

Treat them as a reading aid. Summaries are written by an AI language model, and transcripts often get names and numbers wrong. Card numbers are removed on purpose, but numbers read out as words may not be masked, so treat every transcript as personal data.

AI agents

Setting up AI agents, what they know, and how they behave on calls.

What does a VoiceLogic AI agent do?

An AI agent answers calls on its own number, out of hours or when your team is busy, and greets callers in your company’s name. It puts callers through by name or subject to the people you allow, takes written messages, books meetings in Outlook and answers questions from your own documents. See AI agents.

How do I set up an AI receptionist?

An administrator sets one up in the portal in five steps.

  1. Write a few lines about what your company does, which every agent is told.
  2. Create an agent from the Receptionist template, or the one closest to the job, and choose a voice and plan.
  3. Choose where callers go if it cannot help, and how it takes messages.
  4. Send calls to it, for example only when you are closed.
  5. Ring it, then check its recent calls.

See AI agents.

Will the AI agent give medical advice?

Not when it starts from the pharmacy or surgery templates. They tell the agent never to give medical advice, to pass those callers to the pharmacist or practice team, and to direct emergencies to 999 or NHS 111. Every agent answers questions of fact only from your own information and says when it does not know.

Does the AI agent pretend to be a person?

No. The agent never claims to be a person. If a caller asks, it says it is an automated assistant, and it can always put them through to a person or take a message. It also never invents names, prices or facts. See AI agents.

How do I stop an AI agent repeating itself?

Open the agent in the portal and press Save, then remove any line such as “read everything back” from its instructions. Premium agents only pick up improvements to how agents talk when they are saved. Every agent is told to check only details that are easy to mishear, such as a phone number, and only once.

What does the AI agent know about my business?

Only what you give it. Write a few lines about your company, add documents or have it read your website, then tick what each agent may use. Without documents it can still route calls, but says it does not know rather than guessing. The portal lists what callers asked, so you can see where a document is missing.

How does the AI agent take a message?

It writes down the caller’s name, company, call-back number, message and urgency. The message is emailed to the person it is for, or to an address you choose, and can also be texted to a mobile and written to your CRM. Every message is kept on the agent’s Messages tab.

What happens if the AI agent cannot help a caller?

It sends the caller to the fallback destination you choose, such as a colleague, a ring group or voicemail. Each agent also has a maximum call length: a minute before it, the agent wraps up and offers a message or a transfer. Without a fallback, the call simply ends, so always set one.

Website chat

Your AI agent, answering visitors in writing on your own website.

What is VoiceLogic website chat?

Website chat puts your AI agent on your website, answering visitors in writing with the same instructions, documents, tools and booking as on the phone. Visitors see a round chat button in the corner, and the conversation carries on as they move between pages. See AI agents.

How do I add the chat to my website?

Switch it on in the agent’s Website chat tab, then paste a snippet into your site.

  1. Tick Answer on our website and list the websites it may be used on.
  2. Pick a colour and a monthly conversation limit.
  3. Save, copy the snippet shown, and paste it into your site just before the closing body tag. On WordPress, use a Custom HTML block.

Only https pages work.

Can website chat put visitors through to a person?

No. Website chat cannot transfer anyone, so it takes a message or books a time instead. Messages taken in chat are always written down, emailed and listed on the agent’s Messages tab, so taking messages must be switched on for that agent.

How much does website chat cost?

Website chat is charged by usage, and the price is on request, so ask us for a quote. You set a monthly conversation limit, 500 by default, which caps what the chat can cost. See pricing for AI agent plans.

Can someone copy my chat onto another website?

No. The snippet only works on the websites you list. If you need to replace it, issue a new key in the portal; the chat on your site then stops working until you paste in the new snippet.

Integrations

CRMs, Outlook calendars and your own business systems.

Which CRMs does VoiceLogic work with?

VoiceLogic works with HubSpot, Salesforce, Zoho, Microsoft Dynamics 365, Pipedrive, Zendesk, Freshdesk, Kommo, Vtiger and Jetpack CRM. It shows the caller’s name on the handset as the phone rings, and logs every finished call in the CRM as an activity. See the phone system.

How do I connect my CRM?

An administrator chooses the CRM in the portal and follows the steps shown. For Freshdesk, Jetpack CRM, Pipedrive and Vtiger, you paste in a key. For the others, you create an app in the CRM, add the exact redirect address the portal shows, then press Connect and approve. A test box checks a number shows the right name.

What happens if my CRM is slow or down?

Your calls carry on regardless. If the CRM takes longer than about a second to find a caller, the call rings without the name. If the CRM is down, call records wait and retry rather than being lost. If the portal says the CRM needs reconnecting, an administrator has to press Connect again.

Will unknown callers be added to my CRM?

Only if you choose. Creating a contact for an unknown caller is off by default, because a wrong number would become a permanent record. You can also choose whether every call is logged, or only inbound or only outbound calls.

Can the AI agent book meetings in Outlook?

Yes, with Microsoft 365, once VoiceLogic has set it up. Your IT administrator approves VoiceLogic once for everybody, then each person connects their own calendar. Agents offer free times on weekdays between 09:00 and 17:30, at least an hour ahead, confirm the time with the caller, check it is still free and book it. See AI agents.

Can an AI agent look things up in our own systems?

Yes, through tool servers (MCP). During a call, an agent can look up things like order or ticket status in your own systems. The server must be reachable over the internet using https, and you list exactly which tools the agent may use. Start with tools that only look things up.

Security and accounts

Signing in safely, passwords, and protection from call fraud.

How do I turn on two-step sign-in?

Click your name at the foot of the portal menu and press Turn on two-step sign-in. Scan the QR code with an authenticator app such as Microsoft Authenticator or Google Authenticator, type the six-digit code, and keep the ten recovery codes somewhere safe. It is worth switching on for every administrator.

What if I lose the phone with my authenticator app?

Sign in with one of your recovery codes instead of the six-digit code; each works once. If you have no recovery codes either, ask an administrator to turn off two-step sign-in for you on the Logins page, then sign in with your password and set it up again.

How do I reset a password?

An administrator issues a new one on the Logins page. The portal creates a long password, shows it once, and signs the person out everywhere; nobody chooses a password for someone else. To change your own, use Change my password on My phone. It must be at least 12 characters.

Can I limit where the portal can be used from?

Yes. An administrator can set an access list of internet addresses the portal may be used from, such as your office. Once the first allowed address is added, everywhere else is blocked, so add your own office first. The access list does not affect phones.

How does VoiceLogic protect against phone fraud?

Every account has a limit on calls at once, and international and premium-rate calling can be barred for each extension. New extensions start with international calling barred. A burst of refused calls is flagged for investigation. VoiceLogic sets the account limits, so ask VoiceLogic to change them.

Billing

What VoiceLogic costs and how AI agent minutes are counted. All prices are per month and exclude VAT.

How much does the VoiceLogic phone system cost?

The phone system costs £6.95 per user (extension) per month plus VAT, including 5,000 minutes to UK landlines and 2,000 to UK mobiles, shared across your company. AI agents, text messages, extra phone numbers (£1 a month each) and transcription (£2 an hour) are charged separately; website chat is priced on request. See pricing for every plan.

What is the difference between Basic, Standard and Premium AI agents?

Basic answers and gets the job done, from £29 a month for 500 minutes. Standard holds a more natural conversation that callers can interrupt, from £55 a month for 300 minutes. Premium uses the most natural voices, with many to choose from, from £65 a month for 300 minutes. Prices are per agent, excluding VAT. See pricing.

How are AI agent minutes counted?

Each agent’s plan includes a set number of minutes a month. Minutes are added up across the whole month and rounded once on the total, not call by call. Testing an agent by typing to it with Try it also counts towards its minutes. See pricing.

What happens if I go over my minutes?

Minutes beyond your plan’s bundle are charged per minute: 6p on Basic plans, 17.5p on Standard and 21p on Premium, excluding VAT. If an agent regularly goes over, ask us whether a larger plan would suit it better. See pricing for each plan’s minutes.

How much do text messages cost?

Text messages cost 25p per text part, excluding VAT. A text of up to 160 characters is one part. AI agents send texts when they pass a message they have taken to a mobile number you choose. See pricing.

How much do calls and phone numbers cost?

Each user includes 5,000 minutes to UK landlines and 2,000 to UK mobiles a month, shared across your company. Past that, calls cost 1p a minute to UK landlines and 3p to UK mobiles. Extra phone numbers are £1 a month each. International, 08 and premium-rate calls are priced on request, so contact us for a quote.

Emergency calls

How 999 calls work, and the address every extension needs.

Can I call 999 from VoiceLogic phones?

Yes. 999 and 112 can be dialled from any phone on your account and are never blocked, even if the account is suspended. Give every extension an emergency address so the operator knows where the caller is. See emergency calls.

How do I add an address for 999?

An administrator adds addresses on the 999 addresses page in the portal.

  1. Add the address with a name, street, town and postcode, and the number registered against it with the carrier.
  2. Choose an address for every extension.
  3. Export the list and send it to VoiceLogic, who register it with the carrier.

Any extension without an address is listed in red. See emergency calls.

Why does every extension need a 999 address?

Because the emergency operator finds where the caller is from the address registered against the number on the call. Calls to 999 are never blocked, but without an address the operator has nothing to look up. Give each extension the address where that phone is, and update it when people move.

Which number should show on 999 calls?

The number registered against that address with the carrier. The operator looks up the address from the number on the call, so showing a different number gives them somebody else’s address, which is worse than none. See emergency calls.

Can I see emergency calls that were made?

Yes. The 999 addresses page lists the last 25 emergency calls, with the address the operator would have seen at the time. It also shows, in red, any extension that does not have an address yet.
