AI agents

An AI receptionist that knows your business.

A VoiceLogic AI agent answers your phone in your company’s name, works out what the caller needs, and puts them through, books a meeting or takes a proper message. It answers from your own information and says so when it doesn’t know.

CallerHi, the boiler’s stopped working at 14 Mill Lane.

AgentSorry to hear that. Is there no heating or hot water at all?

CallerNothing at all, and it’s freezing.

AgentThanks. I’ve marked this as urgent and passed it to the maintenance team. Can I check your number is 07700 900123?

What it does

What can an AI receptionist do for my business?

It answers every call you send it, puts callers through to the right person, takes complete messages, books meetings in Outlook and answers questions from your own documents. It can also look things up in your systems and answer chats on your website.

Answers every call

On its own number, out of hours, or when the team is busy. It greets callers in your company’s name and knows what you do.

Puts callers through

By name or by subject, and only to the people and teams you allow. It never invents a colleague.

Takes proper messages

Name, company, call-back number, the message and how urgent it is, emailed to the right person and, if you like, texted to a mobile.

Books meetings in Outlook

It offers times when people are actually free, confirms with the caller and puts the meeting in their Microsoft 365 calendar.

Answers from your documents

Upload documents or point it at your website. It answers from them, and says when it doesn’t know instead of guessing.

Looks things up in your systems

Connect your order, account or ticket system so it can tell callers where things stand while they wait.

Answers on your website

The same agent as a chat on your website, with the same knowledge, and a monthly limit you set.

Screens nuisance calls

Describe what counts as a nuisance in your own words, and it ends those calls or sends them on.

Templates

Start from a template for your kind of business

Seventeen templates set the agent up for a particular job: what to ask, what to do and what it must never do. Choose one when you create an agent, or switch an existing agent to one later, and change anything you like.

Front of house

  • Receptionist
  • Out-of-hours answering
  • Overflow and busy line

Customer-facing

  • Customer service
  • Technical support
  • Accounts and billing
  • Sales enquiries
  • Bookings and appointments

Internal

  • Operations and provisioning
  • Staff and HR line

How it sounds

Does an AI agent sound natural on the phone?

Agents talk like a capable receptionist rather than a form. They ask how the caller is, acknowledge what they hear in a word or two, check only the details that are easy to mishear, and get on with helping.

Choose how natural the voice is. Basic answers and gets the job done. Standard holds a more natural conversation that callers can interrupt. Premium uses the most natural voices, with many to choose from.

  • Never claims to be a person, and says it is an automated assistant if asked
  • Never invents a name, a price, a date or a fact about your business
  • Checks phone numbers, email addresses and booking times once, before acting
  • Skips the small talk when a caller is upset or it is urgent
  • Works in your time zone and knows today’s date for bookings

Getting started

How do I set up an AI receptionist?

Write a few lines about your business, create an agent from a template, choose a voice and plan, and send calls to it. Most of the work is deciding where calls should go.

  1. Describe your business

A few lines on what you do. Every agent is told this, so it can answer “what is it you do?”.

  2. Create an agent

Pick a template, a number, a voice and a plan. Add documents for it to answer from if you have them.

  3. Send calls to it

Point a number at it, or send calls to it only out of hours or when nobody answers.

  4. Read what it did

Check its recent calls and messages, and adjust its instructions as you learn what callers ask.

Questions

AI agent questions

How much does an AI receptionist cost?

Plans are per agent per month, excluding VAT. Basic starts at £29 for 500 minutes, Standard at £55 for 300 minutes and Premium at £65 for 300 minutes. Minutes past the bundle are charged per minute; see pricing.

Can the AI agent transfer calls to my team?

Yes. It puts callers through by name or by subject, only to the people and teams you allow. If nobody can take the call, it takes a message or sends the caller to the fallback you choose.

What happens if the agent doesn’t know the answer?

It says it doesn’t have that information rather than guessing, and offers to put the caller through or take a message. It only answers questions of fact from your own documents and website.

Will the agent give medical, legal or financial advice?

Not when it starts from the templates for pharmacies, practices or professional firms: they tell the agent never to give that kind of advice and to pass those callers to a person. You can see and change every instruction an agent follows.

Can I use the AI agent only out of hours?

Yes. Use office hours to send calls to the agent only when you are closed, or use it as the overflow when your team doesn’t answer within a set time.

Can it book appointments?

Yes, into Microsoft 365 Outlook calendars. Each person connects their own calendar, and the agent only offers times when they are free, confirms with the caller and books it.
